jay cloud Release 2611: Connect HR data. Empower workplace processes.

jay cloud release 2611

Your HCM knows your employees. jay cloud brings that knowledge to the workplace.
Your HCM system knows who your employees are, what they do and where they belong in your organization. jay cloud connects this information with the processes and technology of the physical workplace – from time recording and access control to visitor management and Life Safety.
With Release 2611, we are taking the next step: expanding Employee Self Service, strengthening integration capabilities, introducing central RFID card management and enhancing security operations.
Discover what is new – and what it means for our customers.
1. Employee Self Service - where work happens

More than clocking in and out
Not every employee works at a desk. In production, retail, logistics and many other environments, the workplace terminal is often the most natural point of interaction.
jay cloud brings relevant time information and self-service functions directly to where employees work. Depending on the setup, workplace terminals and tablets can become practical self-service points instead of employees having to switch to a separate computer or portal.
The aim is simple: make everyday processes easier for employees and reduce the administrative effort for HR.

New in Release 2611
Enhanced Kiosk App for time terminals, tablets, smartphones
Full time-data synchronization with SAP SuccessFactors, including WebClock and Time Sheet bookins. Display of time events, working and absence periods, allowances, planned hours, shift times and daily balances.
Direct correction of bookings at the terminal: delete bookings or record missing bookings and change booking types.
Display of SAP SuccessFactors Time Management Alerts, helping employees identify missing or incomplete bookings and correct them immediately.
Additional self-service functions, including access-control PIN changes and activation or deactivation of the Life Safety emergency role for defined days.
Mobile access to the Kiosk App via smartphones, using secure Identity Provider (IdP) login.
2. Integration that does more than move data

Connect systems. Enable processes
An HCM integration should do more than transfer employee records. Its real value lies in what this information enables across the organization.
jay cloud connects HR data with time recording, access control, visitor management, security processes and the devices used in the workplace. This helps companies reduce isolated systems, duplicate administration and manual steps.
Release 2611 extends the integration capabilities that make these connected processes possible – from APIs and connectors to workflows and device communication.
For HCM consultants and technology partners, this means more ways to connect existing systems with real workplace processes.

New in Release 2611
Extended API rules for combining data from different objects and calculating new values.
Enhanced CSV Connector, enabling data imports directly into jay cloud applications.
New integration with HiBob.
Microsoft Dynamics integration via OData.
Additional integrations with Advancis WinGuard/AIM and VISIT by Astrum IT.
Expanded Microsoft 365 workflow capabilities, including the use of Forms and Adaptive Cards.
Direct HTTPS communication between jay cloud and supported device generations, without additional middleware where supported.
Extended device integration, including ZKTeco terminals running the jay cloud Terminal App for time recording and access control, with supported facial and palm recognition functions.
3. One employee. One identity. One connected workplace.

Centralized media management
An employee's identity is represented not only in the HR system but also through physical credentials used for access and other workplace processes.
With Release 2611, jay cloud introduces centralized Media Management for RFID cards. Instead of managing cards separately across different applications, companies can manage the card lifecycle in one place and use the cards across connected jay cloud modules.

New in Release 2611
Media Management for RFID cards across Time, Access, Visitor and Life Safety.
Automatic or manual creation and management of employee cards.
Support for primary and secondary cards.
Central overview of card status, validity, current and previous holders, settings and card history.
Immediate blocking or status changes for cards that are lost, defective or inactive.
Simplified card replacement, including automatic deactivation of the original card during the replacement period.
Digital signatures for card issue and return documents using a tablet or mobile device.
Reports, role-based permissions and a complete audit trail recording who changed what and when.
4. From alert to action

Bringing workplace security together.
An alarm is only the beginning. Security teams also need to understand what has happened, assess its significance and ensure that the appropriate response follows.
The expanded Security Manager Workplace brings alarms and security-relevant information from jay cloud modules and connected access-control devices together. Configurable follow-up actions help organizations move from monitoring individual events to managing coordinated responses.
Security is not just about detecting an event. It is about enabling the right response.

New in Release 2611 Four central applications within the Security Manager Workplace:
Alarm Monitoring: dashboards, searchable alarm lists and real-time highlighting of critical events.
Alarm Configuration: configuration of alarm types and follow-up actions, including change logging.
Notification Profiles: definition of who receives which notifications, with multilingual message templates.
Door and Zone Monitoring: overview of doors, access events, exceptions and event history by location, building or security zone.
Central processing of alarms and warnings from Time, Access, Life Safety, Visitor and connected access-control devices.
Automated actions via email, Microsoft Teams, doors, Microsoft 365 workflows or APIs.
Retry mechanisms and a complete audit trail to support traceability when connected devices or services are temporarily unavailable.
5. Visitor Management – more than a digital sign-in

A professional visitor experience, connected to workplace security
Visitor Management is an important part of the connected workplace.
From planning and pre-registration to check-in, visitor badges and host notifications, jay cloud helps companies manage the entire visitor journey.
What makes the solution particularly valuable is its integration with access control, HR information and Life Safety. Visitor processes become part of the wider workplace environment – supporting both a professional visitor experience and greater visibility of who is on site.

Enhancements in Release 2611
Improved visitor list with more convenient search, sorting and actions.
Visitor categories, such as visitors, applicants, suppliers and contractors, to support different processes and forms.
Custom fields for capturing organization-specific visitor information.
Enhanced company management, including automatic company assignment based on a visitor's email address.
Expanded Microsoft Outlook integration: create visits directly in Outlook and synchronize them with jay cloud.
Automatic pre-registration emails and support for planning visits across multiple locations.
Additional visitor and card lists, plus a comprehensive visitor logbook.
Automatic ending of a visit when the last visitor has checked out.
A customizable kiosk interface and improved self-registration and check-in options using a kiosk or mobile phone, for both pre-registered and spontaneous visits.
For our customers, partners and consulting contacts, Release 2611 opens up further opportunities to extend existing HCM, technology and security projects with integrated workplace capabilities.
